AideClear provides compliance workflow software for home-care and home-health organizations. This policy explains how information is handled when organizations and their workforce use AideClear.
Depending on how an organization uses AideClear, the service may process account information, agency profile information, workforce roster information, credential and compliance documents, license or certification details, background/exclusion verification results, audit evidence, application activity, and billing-related identifiers.
Information is used to provide and secure the service; determine and track applicable compliance requirements; request, review, and verify workforce or agency evidence; run audit-readiness checks; send authorized notifications; operate integrations; support billing; troubleshoot failures; and improve reliability.
AideClear uses service providers to host the application and database, store private documents, deliver email, process payments, perform automated document analysis, and support other application functions. Providers receive only the information reasonably necessary for the service they perform.
AideClear may use automated systems to classify documents, extract structured fields, compare evidence to a requested requirement, and identify items needing human review. Automated analysis is subject to confidence and safety gates. AideClear does not treat an AI result alone as proof of legal compliance.
AideClear uses authenticated access controls, row-level database controls, private document storage, expiring signed links where appropriate, encrypted network connections, and restricted service credentials. No internet service can guarantee absolute security.
Information may be retained while an account is active and afterward as reasonably necessary for audit history, legal obligations, fraud prevention, dispute resolution, backups, and service security. Organizations remain responsible for determining their own legal record-retention obligations.
When an agency provides workforce information, that agency is responsible for its lawful collection and use. Workforce members should direct access, correction, or deletion requests relating to agency-controlled records to their agency unless applicable law provides otherwise.
This policy may be updated as AideClear evolves. Material changes will be reflected by an updated effective date and, where appropriate, in-product notice.
