Terms of Service

These Terms govern use of the AideClear software service. By creating or using an account, the organization using AideClear agrees to these Terms.

Service purpose

AideClear helps organizations manage workforce and agency compliance workflows, evidence collection, verification, reminders, exceptions, and audit-readiness information.

AideClear is not a law firm, regulator, accreditor, or guarantee of compliance. Information and automated decisions in the service are operational aids. The customer remains responsible for legal, regulatory, employment, clinical, licensing, payer, and policy decisions.

Account responsibility

Customers are responsible for authorized users, accurate agency information, lawful workforce data collection, safeguarding login credentials, and promptly removing access for users who should no longer have access.

Customer data

Customers retain responsibility for information they submit. By using the service, the customer authorizes AideClear and its service providers to process that information as necessary to operate, secure, support, and improve the service.

Prohibited use

Users may not misuse the service, attempt unauthorized access, interfere with security controls, upload malware or unlawful content, use AideClear to make discriminatory or unlawful employment decisions, or represent AideClear output as a regulator's or attorney's legal determination.

Patient information

Unless AideClear explicitly agrees otherwise in writing, the service is intended for agency and workforce compliance records and not for patient clinical records or patient-care documentation.

Automated systems

AideClear may use automated analysis and external data sources. Automated results may be incomplete, delayed, unavailable, or require human review. Safety gates may prevent automatic clearance even when a document appears valid.

Subscriptions and payment

Paid plans, trial terms, billing intervals, usage limits, and renewal terms are shown at checkout or in the customer's billing area. Unless otherwise stated, subscriptions renew automatically until canceled. Payment processing may be provided by Stripe.

Availability and changes

AideClear may update, suspend, or change features to improve security, reliability, compliance coverage, or product functionality. Scheduled maintenance and third-party outages may affect availability.

Disclaimers

The service is provided on an “as available” basis to the extent permitted by law. AideClear does not warrant that every legal requirement, jurisdictional rule, source, integration, or verification service is complete or continuously available.

Limitation

To the maximum extent permitted by applicable law, AideClear is not liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from use of the service. Any mandatory rights that cannot legally be limited remain unaffected.

Termination

A customer may stop using the service and cancel a paid subscription subject to the applicable billing terms. AideClear may suspend or terminate access for misuse, security risk, nonpayment, or material violation of these Terms.

Changes

These Terms may be updated as the product evolves. Material changes will be reflected by an updated effective date and, where appropriate, in-product notice.
