HOME-CARE AGENCY OPERATIONS

Home care employee compliance checklist: review the file, not just the date

An employee file can appear complete while important questions remain unresolved: Is this requirement applicable to this role? Is the evidence current? Was a source verification needed? Who followed up? This operational checklist helps administrators identify those gaps before a survey or staffing decision.

1. Confirm which requirements apply

Start with the agency’s state, provider type, programs, services, job duties, and employee role. Requirements can differ even between workers at the same agency. Link each item to the authoritative rule or approved policy rather than applying a generic nationwide checklist.

2. Review dates and documents

For each applicable item, capture its owner, issue date if relevant, expiration or renewal date, evidence location, and review status. Check that the document is legible, belongs to the worker, and covers the relevant requirement. An uploaded file is not necessarily verified evidence.

3. Record source checks

Where an authoritative board, registry, screening resource, or approved provider verification is required and accessible, record the source, result, and check date. When verification is unavailable, do not mark the requirement cleared solely because an upload exists.

4. Follow up on missing evidence

Identify which employee needs to provide what, the requested action, and when the next follow-up should occur. Keep a history of requests, responses and unresolved attempts. Use employee contact methods and permissions allowed by your agency’s policies.

5. Escalate uncertainty

An ambiguous certificate, conflicting date, unsupported verification or missing requirement interpretation belongs in an administrator review queue. Preserve the reason and the decision trail rather than automatically changing the worker’s clearance status.

6. Prepare the review summary

For a survey or internal review, be able to show the applicable requirement, current evidence, verification result, communications and remaining exceptions. Limit access to employee records based on staff roles.

Important: Applicable obligations vary by jurisdiction, license, payer, services, and employee role. Check current guidance from the relevant authority. This operational guide is not legal advice and does not assert that every AideClear verification integration is available.
