Start with the actual assignment
Check state, provider license type, worker role, services, payer or program, and organizational policies. Do not use one universal checklist for every worker or client.
Check evidence, not just the green status
Compare each applicable credential, screening, competency, training item, and policy-specific document with its current evidence and expiration date. Where verification is necessary, retain a trusted result and date.
Treat unknown results as unknown
If a board, registry or other required source cannot be reached, or a document is ambiguous, do not treat an attempted check as confirmation. Escalate it to someone authorized to make the decision.
Keep a defensible history
Record what was checked, the authoritative requirement, supporting evidence, employee contact, the reviewer, and outstanding actions. A status without a traceable history is harder to explain during a survey.
Where automation helps
AideClear is designed to check requirements regularly, request missing documents when supported, and present unresolved items for administrator review. It does not guarantee regulatory clearance or replace professional judgment.
Requirements vary by location, provider type, worker role and applicable program. This guide is operational information, not legal advice or a guarantee of clearance. Confirm current authoritative requirements and integration availability.
